Who we are
Inventria is an online service for property inventory and inspection businesses. In this notice, “we” and “us” mean Inventria.
You can reach us at support@inventria.co.uk or through the form on our home page.
Whose information it is
A business using Inventria decides what goes into its workspace: properties, inspections, notes, photos and the details of its clients and tenants. For that information, the business is in charge (the controller) and we look after it on the business’s behalf, under our terms with it. If your details are in a report, the business that made the report is the first place to ask about them.
For the details of people who sign up to Inventria, and of people who contact us through this website, we decide how they’re used, and this notice explains how.
What we keep
- Your account: your name, email address and the businesses you belong to, from our sign-in service.
- Work in the app: what you and your team add to your workspace (see whose information it is).
- Usage counts: how many times things happen each day in each workspace and for each person in it, such as the app being opened, inspections started, photos added and AI suggestions asked for. They never include addresses, notes or photos.
- Enquiries: if you use the form on this website, your name, work email, company, team size and phone number if you give them, and your message.
- Technical records: our hosting providers keep standard request records, such as the address a request came from and the browser used, to keep the service secure and running. To stop the enquiry form being flooded, we keep a one-way scrambled form of the sender’s address for a short time, never the address itself.
Why we keep it
- To provide Inventria to the businesses that use it.
- To sign you in and keep accounts secure.
- To reply to your enquiry.
- To prevent misuse, such as spam through the enquiry form.
- To understand, in counts, how the service is used, so we can keep it running and improve it.
- To tell you about important changes to the service.
Optional AI suggestions
Inventria can suggest wording, read a meter from its photo or draft a room overview. Nothing is sent for a suggestion unless someone in the workspace asks for one; then only the text or photos that suggestion needs go to an AI service provider to produce it. The provider doesn’t use what’s sent to train its models. A workspace’s admins choose who in their team can use these features, and nothing a suggestion says is saved until a person accepts it.
Who helps us run Inventria
We use other companies for hosting and the database, signing in, private photo storage, backups and, only when someone asks for one, AI suggestions. They act on our instructions and only see what they need to do their job.
We don’t sell anyone’s details or use them for advertising. A report reaches other people only when a business sends them a share link. We’ll also share information if the law requires it.
Where it’s kept
Some of the companies that help us are based in, or store information in, countries outside the UK, including the United States. Where that happens, we use the safeguards those companies offer for sending information abroad.
How long we keep it
- Workspace content is kept until the business deletes it. When a business deletes its workspace, nobody can reach it from then on, and its content is deleted for good after 30 days.
- Your account is kept while you use Inventria.
- Enquiries are kept until we’ve dealt with them, then deleted.
- Usage counts are kept to show how the service is used over time; they don’t identify anyone’s property or tenants.
Your rights
You can ask us for a copy of the information we hold about you, to correct it, to delete it, or to stop or limit how we use it. For information in a business’s workspace, we’ll pass your request to that business.
To ask, email support@inventria.co.uk or use the form on our home page. If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office.
Changes to this notice
We’ll update this notice when what we do changes, and change the date at the top. If a change matters to how your information is used, we’ll tell the businesses using Inventria first.
